TAFP event policies
All policies and terms of registration are adopted in consideration of and in the best interest of event attendees, guests, host facilities, staff, sponsors, vendors, and volunteers. As a condition of registration, you agree to comply with all the terms and rules contained herein. Participants violating this policy may be asked to leave the meeting and TAFP could refuse to allow them to attend future meetings.
Code of conduct
Participants will conduct themselves in a professional manner that is welcoming to all participants and free from any form of discrimination, harassment, or retaliation. Participants shall treat each other with respect and consideration to create a collegial, inclusive, and professional environment at TAFP educational events and other meetings. Participants will avoid any inappropriate actions or statements based on individual characteristics such as age, race, ethnicity, sexual orientation, gender identity, gender expression, marital status, nationality, political affiliation, ability status, educational background, or any other characteristic protected by law. Disruptive or harassing behavior of any kind will not be tolerated.
Nonsolicitation
Registration for educational events is intended for health care professionals for continuing medical education credits. Individuals with a product or service to promote should do so by securing an exhibit table or through some other manner explicitly agreed to by TAFP before the event. Participants may not solicit other attendees or vendors during the CME sessions. Promotional and other materials cannot be placed in the aisles or any other space in the event venue not leased to exhibitors. This includes the distribution of materials without proper authorization being granted in advance.
Accessibility
We are committed to ensuring that our event is accessible to all participants. If you require any accommodation or have specific ADA needs, please contact us in advance so that we can make the necessary arrangements.
Dietary restrictions
For participants that have dietary restrictions or preferences due to health, religious, or ethical reasons, TAFP will make reasonable efforts to accommodate these requests, however, cannot guarantee that all dietary restrictions will be fully accommodated.
Alcoholic beverages
Recognizing the nature of receptions and the potential for alcohol abuse at conferences, all TAFP events will make nonalcoholic drinks available. Participants are responsible for their own well-being and agree the TAFP will not be responsible for any events or occurrences resulting from excessive drinking, recklessness, or negligence.
Unsecured items
Personal belongings such as briefcases, backpacks, purses, coats, book bags, laptops, tablets, mobile devices, etc. should not be left unattended in meeting rooms, exhibit halls, or public areas. These items are the responsibility of their owners, and TAFP will not be held responsible for their safe-keeping should they be lost or stolen. Additionally, any unattended items may be subject to removal by security upon being discovered.
Health and safety
TAFP will follow the guidance of The Centers for Disease Control regarding communicable diseases, and will comply with all state, local, and venue requirements to meet safely. Participants agree to follow instructions or procedures provided regarding health and safety arrangements to minimize the risk of injury or illness. If you are not feeling well prior to or during an in-person TAFP event, please do not attend.
Photography and video
TAFP may take photographs and/or record audio and video at this event. By attending, you consent to the use of any photographs, audio, and video recordings of you by TAFP and its designees in TAFP communications and promotions, or for any other lawful purpose. TAFP encourages participants to share their experience at events on social media, unless a speaker specifically prohibits sharing of their content. Use and reproduction of the conference logo and/or the TAFP logo to promote non-TAFP sanctioned products or services is strictly prohibited.
Data and privacy
Participants grant consent to the collection and use of personal information for administrative purposes related to the event. Your data will be handled in accordance with applicable privacy laws and ACCME standards and will not be shared with third parties without your consent.
Complaints
If you have any concerns or complaints regarding the event or your experience, please contact a member of the event staff as soon as possible. We are committed to addressing any issues promptly to ensure that all attendees have a positive experience.
Refunds
Refunds will be issued for cancellations made within a specified period before the event, as outlined in the registration terms. No refunds will be provided for cancellations made after the specified deadline or for participants removed from a TAFP event.
Waiver and release policy
Participants acknowledge that participation in certain conference activities may involve inherent risks. Participants agree to release the conference organizers, sponsors, and affiliated parties from any liability for personal injury, loss, or damage incurred during the event.
